Desk Accessories for a Law Office: A Practical Setup Guide

Law office desk accessories do two jobs at once: they keep paper moving on your side of the desk, and they tell the client in the other chair who they are talking to. This guide covers the pieces that matter most in a legal practice: document trays, a card holder and a nameplate that carries your credentials correctly, plus pad size, color and a checklist.

Call them lawyer desk accessories or attorney desk accessories; the list is the same. Our matching desk sets are for offices in general, so read this as advice on choosing and arranging them, not as a product line for one profession.

Start from the client's chair

Any client-facing desk is planned from the visitor's seat: nameplate and cards at the front, your working pieces on your side. Our guide on how to set up a professional office desk walks through that layout. Two points matter more in a law office.

  • Documents are signed at the desk. Keep the far edge of the desk pad clear so a document can be turned around. Most sets with a nameplate include two ballpoint pens, which leaves one to hand over.
  • A card goes home with the client. Most of our sets include a business card holder; some have none, so check the included list.

Papers and files: what a document tray is for

A document tray is open. It holds the loose paper of the matter you are working on now; it is not storage, and it is not private, because a file label or a top sheet can be read from the client's chair.

  • Files live in the cabinet. The tray takes sheets in transit, such as a draft to review or a letter to sign; the file itself goes back to the cabinet.
  • Cover the top sheet. Before a client sits down, empty the tray or lay a closed folder on it.
  • Clear it when you leave. At the end of the day the tray is empty and the files are put away.

Nameplate wording for attorneys

The nameplate on our sets has two lines: a name of up to 32 characters and an optional title of up to 36. The text is printed on a metal plate, not engraved, exactly as you type it. Each example below uses a placeholder name and shows its length in parentheses; spaces and punctuation count.

Esq. and Attorney at Law say the same thing, so use one, not both. By convention Esq. is not combined with Mr., Ms. or J.D. either. Copy the form already printed on your business card or letterhead, punctuation included. Long titles need trimming. Partner, Mergers and Acquisitions Practice Group runs to 48 characters; Partner, Mergers & Acquisitions fits in 31, and the ampersand is an allowed character.

Pick one of the fonts shown on the product page and a gold or silver plate; a classic serif such as Lora or Playfair Display suits a traditional office. Desk pad size for letter and legal-size paper

Our desk pads come in two sizes: 13.4 × 18.9 in (34 × 48 cm) and 15.0 × 22.8 in (38 × 58 cm). The first number is the depth. A legal-size sheet is 8.5 × 14 in (21.6 × 35.6 cm), so a legal-size document set square in front of you is a little longer than the smaller pad is deep, and it fits within the larger one. Letter-size paper fits on either.

Desk width decides the rest: on a narrower desk the smaller pad leaves more surface for trays and holders. Executive sets come with either pad size, so read the desk pad line on the product page. For the measuring steps and a table by desk width, see the desk pad size guide.

Colors for a traditional office

No rule says a law office has to be dark. By convention, offices with wood furniture and bookshelves lean toward black, brown, burgundy and dark green. That is taste, not a requirement of the profession.

Black and brown are offered on the most sets, so start with the black desk sets or the brown desk sets. Burgundy appears on fewer sets, among them the Venus and Prestige sets. Most of the range is faux leather, a man-made material, not genuine leather; the Prestige sets combine wood veneer with faux leather components.

Reception, shared desks and conference tables

On a reception desk the nameplate can carry a function: the name line is required, so type Reception or Client Intake there, and use the optional title line for a floor or a suite.

A conference table, or a desk used by whoever is in that day, needs no name on it, so choose a set without a nameplate. The Cloud 10-Piece Desk Set ($225) has a two-tier document tray and a two-pen stand, and no nameplate; some compact sets come without one too.

What to check before you order

Whichever professional desk set you choose, check five things first.

  • The included list. It governs what you receive. Paper, notepads, calendar sheets and clock batteries are not included.
  • The desk pad and the tray. Confirm the pad size against your desk, and whether the set has a single tray, a two-tier tray or none.
  • The nameplate text. Read it letter by letter against your business card and count the characters on each line.
  • The desk flag. Some executive sets add one or two desk flags, and you type which flag you would like on the product page or in your bag.
  • The total. Shipping costs are shown at checkout before you pay.
