Executive Office Desk Accessories Checklist
This checklist sorts executive office desk accessories into three groups: the essentials nearly every desk uses, the pieces that depend on your work, and the optional extras. It answers what to put on an office desk with one test per piece: add it only when a daily job calls for it.
Use this desk accessories checklist before you shop. Our office desk accessories come as ready-made matching sets built around a desk pad, and the executive desk sets are the ones with ten pieces or more. For what each piece is, see the desk set glossary; this page helps you decide whether your desk needs it.
Essentials vs optional pieces
Three questions settle most of the list: how much paper crosses the desk, whether visitors sit across from you, and how much free surface you want to keep.
| Piece | Job on the desk | Essential or optional | In our sets |
|---|---|---|---|
| Desk pad | Work surface | Essential | Every set |
| Pen cup | One place for pens | Essential | Every set |
| Memo holder | Note paper within reach | Essential | Every set (an A5 notepad holder on the Prestige sets) |
| Coaster | A fixed spot for a drink | Essential | Nearly every set |
| Business card holder | Cards within a visitor’s reach | Essential if you hand out cards | Most sets of five pieces or more |
| Document tray | Paper waiting to be handled | Essential if paper arrives daily | Many executive sets; no compact set |
| Personalized nameplate | Name and title facing the visitor | Essential on a client-facing desk | Most sets |
| Phone stand | Phone upright and in view | Optional | Most executive sets, some compact sets |
| Desk clock | The time without a phone | Optional | Some executive sets |
| Desk flag | A flag of your choice | Optional | Some executive sets |
The four office desk essentials
These four do the daily work on almost any desk. The Luna 4-piece set is exactly this list: desk pad, pen cup, memo holder and coaster.
Desk pad
You need it if you write, type or sign anything at the desk; the other pieces are arranged around it. Skip it if you already own a pad you plan to keep. Every ready-made set includes one, so build your own set instead (see Match vs mix). In our sets: two sizes, 13.4 × 18.9 in (34 × 48 cm) and 15.0 × 22.8 in (38 × 58 cm). Measure the desk first, using the desk pad size guide.
Pen cup
You need it if pens, pencils or scissors live on the desk. Skip it if your pens stay in a drawer. In our sets: every set includes one. On the Elegance sets it has a clock built in.
Memo holder
You need it if you take quick notes by hand during calls or meetings. Skip it if every note goes into a phone or laptop. In our sets: every set has one except the Prestige sets, which have an A5 notepad holder in its place. Both are holders only; paper is not included.
Coaster
You need it if a mug, glass or water bottle comes to the desk. Skip it if you never drink there. In our sets: nearly every set includes at least one; Vega 4, for example, has a phone stand and no coaster. The Venus and Galaxy sets come with three.
Pieces that depend on your work
These professional desk accessories earn a place only when the job calls for them: two concern visitors, one concerns paper.
Business card holder
You need it if clients, suppliers or guests leave your desk with your card. Skip it if you never hand out cards. In our sets: most sets of five pieces or more include one, and the four-piece sets do not. On the Star sets it has a paperclip compartment.
Document tray
You need it if paper arrives every day: mail, contracts to sign, files to review. A single tray holds what is waiting; a two-tier tray separates incoming paper from finished work. Skip it if your work is on screen; without a tray, more of the surface stays clear. In our sets: many executive sets and no compact set. The Luna 10-piece and Star 11-piece sets are offered with either a single or a two-tier tray, and the Venus sets have none.
Personalized nameplate
You need it if visitors, clients or new colleagues sit across from you. Skip it if nobody visits the desk, as in most home offices. In our sets: most sets include one; the Cloud sets, the Vega 9-piece set and the four- and five-piece sets do not. It carries a name of up to 32 characters and an optional title of up to 36, printed (not engraved) on a gold or silver metal plate. Browse the desk sets with a personalized nameplate, or read the nameplate guide for the options.
Optional pieces
These executive desk accessories vary from set to set, so decide on them before you compare.
Phone stand
You need it if you take calls while your hands are on paper or a keyboard. Skip it if the phone stays in a pocket. In our sets: most executive sets include one, and so do some compact sets, such as the Vega 4-piece and Luna 9-piece sets. The Pulsar 10-piece set and the Star 10- and 11-piece sets do not.
Desk clock
You need it if you run timed meetings at the desk. Skip it if a wall clock or your screen is in view. In our sets: some executive sets, in several forms: a desk clock (Star 14), a large desk clock (Prestige 14), a pen cup with an integrated clock (Elegance) and a clock attached to the nameplate (Chester). Clock batteries are not included.
Desk flags
You need one if your office displays a national, state or organization flag. Skip it if it would only be decoration. In our sets: Galaxy 13 and 14, Venus 13 and 14, Elegance 12 and the 17-piece executive set, plus an option on Chester. You type which flag you would like in the Desk flag box, on the product page or in your bag.
Other pieces in the listings
Some lists go further: a tissue holder (Elegance and Prestige, among others), a calendar holder (Star, and Vega from nine pieces up), a picture frame (Star), a mouse pad (Venus) and a paperclip holder (Pulsar, Chester and Vesta). Keep one only if it has a daily job.
Match vs mix
Matching means every piece comes from one set, in one color and one finish; mixing means collecting pieces one at a time. Matching is the easier route: pieces collected over time rarely share a color, a finish or a height. Our desk organizer set guide compares a matching set with a one-piece desk organizer.
Mixing makes sense in two cases. If you already own a piece you like, such as a clock, choose a set that leaves it out. If no ready-made set matches your list, Build Your Desk Set lets you choose a model, add only the pieces you need and pick one color. There is no minimum, and every piece in a built set shares one model and one color, so the result still matches. Ready-made sets keep their listed contents.
Compact checklist vs executive checklist
Compact sets have four to nine pieces, and executive sets have ten or more. The split is by piece count, not pad size: every compact set uses the smaller pad, while executive sets come with either size.
Compact desk checklist
For a small desk, a laptop desk or a home office:
- Desk pad, 13.4 × 18.9 in (34 × 48 cm)
- Pen cup
- Memo holder
- Coaster
- Business card holder, if you hand out cards
- Phone stand, if the phone is part of your work
- Personalized nameplate, if visitors come to the desk
Leave the tray, the clock and the flags off this list; in our range they come with executive sets. Everything above is available among the compact desk sets.
Executive desk checklist
For a large desk that handles paper and receives visitors:
- Desk pad, in the size that fits the desk
- Pen cup
- Memo holder or notepad holder
- Coasters: one for you, more if visitors are offered a drink
- Business card holder
- Document tray, single or two-tier
- Personalized nameplate
- Phone stand
- Optional: desk clock, desk flag, tissue holder
Ten pieces or more is the only rule, so two executive sets can differ in tray, phone stand, clock and flags. To pick a model, our guide on how to choose an executive desk set compares real sets and budgets.
How to check a desk set against the checklist
- Open the product page. It lists every piece with quantities and states the desk pad size and the material.
- Tick off your list, not the piece count. Two pens count as two pieces and three coasters as three, so compare contents, not totals. The glossary explains how pieces are counted.
- Read what is not included. Paper, calendar sheets and clock batteries are not included, and neither is anything shown in a photo but not listed.
- Compare your shortlist. Select “Compare” on up to three sets, then open the comparison page. It shows price, pieces, desk pad, material, nameplate, colors and the full contents side by side; tray type, clock and flags appear in the contents row.
Four sets checked against the list
Four faux leather sets from different families show how a list becomes a choice. Each has the four essentials and a personalized nameplate base with two ballpoint pens.
- Compact desk with visitors: the Luna 9-piece set with nameplate ($175) adds a business card holder and a phone stand, on the smaller pad.
- Paper and visitors on the larger pad: the Pulsar 10-piece set ($225) adds a single document tray, a business card holder and a paperclip holder. It has no phone stand.
- The full executive list on the smaller pad: the Galaxy 13-piece set with desk flag ($210) adds a two-tier document tray, a business card holder, a phone stand, two more coasters and a desk flag.
- Executive list with a clock: the Elegance 11-piece set ($275) adds a two-tier document tray, a business card holder, a phone stand and a tissue holder, on the larger pad. Its pen cup has a clock built in.
From checklist to desk set
With the list written, browse all desk sets and narrow them by pad size, color or material, or start with the executive sets of ten pieces or more if a tray, a card holder and a nameplate are on your list. For an office desk setup with nothing spare, pick the set that covers your list and little else. For where each piece goes, read how to set up a professional office desk; a separate guide covers desk accessories for a law office. If the list is for someone else's desk, our guides to desk accessories for men and desk accessories for women each have a section on buying a set as a gift.
